What You Will Do:
We are looking for an Operations Coordinator to support the National Institute on Drug Abuse (NIDA). This position is a full-time role located in Baltimore, MD, with partial telework eligibility as determined by the Government.

  • Provide comprehensive administrative, operational, and programmatic support to NIDA to ensure continuity of operations and organizational efficiency.

  • Prepare and coordinate administrative documentation, including travel, correspondence, reports, and forms.

  • Support daily office operations, workflow coordination, and timekeeping activities.

  • Process personnel actions such as onboarding, promotions, and separations while ensuring compliance and accuracy.

  • Coordinate meetings, events, and logistics (including virtual platforms) and prepare agendas and meeting materials.

  • Maintain communication products such as websites, newsletters, and internal/external communications.

  • Maintain SOPs and provide guidance on administrative policies while serving as a liaison across program and administrative offices.

  • Manage databases, tracking systems, and records, ensuring proper documentation and reporting.

  • Process procurement requests, track orders, and maintain inventory/property records.

  • Support special projects, research activities, and strategic planning initiatives.

  • Analyze workflows, identify inefficiencies, and recommend process improvements.

  • Support committee activities (e.g., IRPAC and ACUC), including coordination and documentation.

  • Prepare reports, deliverables, and financial documentation including invoices, budget tracking, and variance analysis.

  • Ensure all deliverables meet HHS and NIH standards for accuracy, completeness, and compliance.

What You Will Need:

  • Bachelor’s degree.

  • A minimum of FIVE (5) years of administrative support experience, preferably within a Federal or biomedical research environment.

  • Background supporting scientists or intramural research programs within NIH or similar organizations.

  • Demonstrated ability to manage administrative operations including travel, procurement, HR actions, and reporting.

  • Proven success coordinating meetings, events, and communications across stakeholders.

  • Hands-on work with databases, tracking systems, and records management processes.

  • Capacity to process procurement actions and manage high-volume administrative workloads.

  • Familiarity with Federal systems such as Microsoft Office Suite, SharePoint, WebEx, Concur, and timekeeping tools.

  • Ability to work independently while ensuring accuracy, timeliness, and compliance with Federal regulations.

  • Strong organizational, communication, and analytical skills.

  • Must be able to obtain and maintain a Federal or DoD public trust; candidates must receive approved adjudication prior to onboarding with Guidehouse. Candidates with an active public trust or suitability are preferred.


What Would Be Nice To Have:

  • Background supporting NIH, HHS, or other Federal health research agencies.

  • Familiarity with biomedical or intramural research programs.

  • Hands-on coordination of PIV card renewals and facility operations, such as parking or access tracking.

  • Exposure to Office of Medical Services (OMS) activities or staff safety events.

  • Proven ability to onboard trainees or support workforce integration efforts.

  • Knowledge of preparing official government travel orders and managing related logistics.

  • Capability in budget tracking, invoicing, and financial reporting within a federal contracting environment.

The annual salary range for this position is $74,000.00-$124,000.00. Compensation decisions depend on a wide range of factors, including but not limited to skill sets, experience and training, security clearances, licensure and certifications, and other business and organizational needs.
