What You Will Do:
We are currently searching for the Division of Receipt and Referral (DRR) Operations Support Specialist.This role will provide comprehensive administrative and technical support to the Director of DRR, senior leadership, and staff. This role ensures the accurate and timely processing of grant applications, supports peer review operations, and maintains high-quality data and reporting systems. This is a full-time opportunity located in Bethesda, MD.
Receive, verify, and organize grant applications in accordance with
Division of Receipt and Referral (DRR) policies.
Route applications to appropriate branches or study sections based on CSR guidelines.
Track and report application status, including Awaiting Receipt of Application (ARA) items and fast-track submissions.
Identify and resolve application errors, including modular budget issues.
Enter and update application data in IMPAC II (Extramural Grant System) and maintain RFA/PA tracking tables.
Coordinate logistics for in-person and virtual peer review meetings, including scheduling, AV setup, hotel arrangements, and material preparation.
Support SROs during meetings by monitoring conflicts, ensuring form completion, and managing technical tools (e.g., MeetingOne, Teams).
Prepare and submit post-meeting documentation packages and finalize meeting records in Committee Management systems.
Maintain reviewer rosters and seating charts; generate tent cards and folders with meeting materials.
Ensure accurate conflict of interest tracking and roster updates throughout the review cycle.
Reporting & Quality Assurance
Generate workflow and volume reports; maintain DRR SharePoint content.
Collaborate with DRR Data Management Analysts to respond to inquiries and ensure data accuracy.
Communicate with IC and CSR stakeholders to gather referral and application data.
Manage VAM portal entries and configure remote participant access.
Provide technical support for video/audio quality and troubleshoot connectivity issues.
Provide ad hoc administrative services and support the overall operational efficiency of DRR.
What You Will Need:
Bachelor’s Degree OR Associate’s PLUS TWO (2) years of experience is equivalent to a Bachelor’s.
A minimum of ONE (1) year of experience
Skilled in identifying and resolving application errors and routing issues.
Proactive in troubleshooting technical problems and ensuring meeting readiness.
Understanding of conflict-of-interest policies and secure handling of sensitive information.
Capable of generating reports and analyzing workflow data.
What Would Be Nice To Have:
Previous experience with NIH preferred.
Experience in grants administration, peer review operations, or federal research support preferred.
Ability to manage multiple tasks, prioritize deadlines, and maintain accurate records.
