What You Will Do:
We are currently searching for a Peer Review Operations Specialist.This role is responsible for end-to-end coordination and support of scientific peer review meetings. This includes creating and managing meetings in Committee Management, maintaining reviewer rosters, conducting administrative reviews, and preparing logistical materials such as rooming lists, folders, and seating charts. The role supports both in-person and virtual meetings by coordinating AV setup, shipping materials, and ensuring all technical and compliance requirements are met. The role also supports Video Assisted Meetings (VAM) by managing remote participant setup, troubleshooting video/audio issues, and maintaining high-quality virtual engagement. This is a full-time opportunity located in Bethesda, MD.

  • Schedule and create meetings in Committee Management, including all logistical details.

  • Maintain reviewer rosters and ensure accurate conflict of interest tracking.

  • Conduct administrative reviews to verify PI listings in Peer Review.

  • Prepare and distribute hotel rooming lists and confirmation details.

  • Monitor and verify critiques in NIH Internet Assistant Review IAR.

  • Coordinate BEO/AV requirements with hotel staff.

  • Ship and track meeting materials and equipment.

  • Assemble reviewer folders with agendas, scoring sheets, travel info, and seating charts.

  • Create tent cards and print FedEx labels.

  • Prepare seating charts per Scientific Review Officer (SRO) instructions.

  • Provide technical support (AV, MeetingOne, internet, Microsoft Teams).

  • Monitor conflicts and ensure completion of pre/post conflict of interest forms.

  • Ensure meeting minutes are signed by SRO and Chair.

  • Manage cleanup and secure document disposal (in-person).

  • Arrange FedEx pickups and release/sweep scores.

  • Update and generate rosters; edit summary statements per SRO guidance.

  • Generate and verify SREA reports for reimbursements and honorariums.

  • Compile and submit post-meeting packages (agenda, minutes, logs, conflict reports, rosters).

  • Finalize and release meetings in Committee Management.

  • Enter participant data in the VAM portal and configure remote access.

  • Support remote participants with setup and connectivity (Cisco Jabber, hardware).

  • Manage video/audio quality and troubleshoot issues during meetings.

  • Communicate with reviewers and manage video-related conflicts.

  • Provide general support services to ensure smooth execution of peer review operations.


What You Will Need:

  • Bachelor’s Degree OR Associate’s Degree plus TWO (2) years of experience is equivalent to a Bachelor’s.

  • A minimum of SIX (6) years of experience.

  • Experience supporting scientific or peer review meetings, preferably in a biomedical or research-focused environment.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and/or virtual meeting platforms (e.g., Teams, Cisco Jabber).

  • Ability to manage AV/IT logistics for in-person and virtual meetings

  • Must be able to OBTAIN and MAINTAIN a Federal or DoD "PUBLIC TRUST"; candidates must obtain approved adjudication of their PUBLIC TRUST prior to onboarding with Guidehouse. Candidates with an ACTIVE PUBLIC TRUST or SUITABILITY are preferred.

What Would Be Nice To Have:

  • Previous experience with NIH preferred.  

  • Familiarity with Committee Management systems, Peer Review platforms (e.g., IAR), and VAM portals.

  • Ability to be self-motivated, detail oriented and have strong organizational skills.

The annual salary range for this position is $85,000.00-$141,000.00. Compensation decisions depend on a wide range of factors, including but not limited to skill sets, experience and training, security clearances, licensure and certifications, and other business and organizational needs.
