What You Will Do:
Manage end-to-end submission, review, tracking, and lifecycle management of Security and PIV requests across two government agencies. Maintain request documentation, validate completeness/accuracy, and reconcile submissions against internal and Federal asset management tracking systems at least quarterly to ensure alignment. Develop and deliver status reports, metrics, and discrepancy findings to internal leadership and Government stakeholders, recommending corrective actions as needed.
Work to ensure timely provisioning of Government Furnished Equipment (GFE) for staff by coordinating requests, approvals, onboarding timelines, and delivery logistics with internal teams and Government points of contact. Track equipment needs and fulfillment status, communicate expected turnaround times, and proactively identify and escalate delays or blockers to maintain staff readiness.
Facilitate, monitor, and document annual resource training completion across two teams to ensure compliance with contractual and Government requirements, and provide group facilitation, interviewing support, training, and other forms of knowledge transfer as needed. Maintain training rosters, track completion status, send reminders and follow-ups, and coordinate with managers on remediation for overdue items. Compile and present completion metrics and compliance summaries to internal and Government stakeholders.
Coordinate, execute, and monitor special projects within Program Administration, including planning tasks, establishing timelines, and tracking action items through completion. Identify best practices to modernize workflows and improve outcomes.
Coordinate with internal, Federal, and contract staff to manage and oversee program administration activities, ensuring consistent processes and timely responses to requests. Maintain organized records and trackers, support recurring reporting and audits, and contribute to continuous improvement by identifying process gaps and recommending corrective actions, best practices, standardized templates, clearer workflows, and improved tracking.
What You Will Need:
Must be able to OBTAIN and MAINTAIN a Federal or DoD "PUBLIC TRUST"; candidates must obtain approved adjudication of their PUBLIC TRUST prior to onboarding with Guidehouse. Candidates with an ACTIVE PUBLIC TRUST or SUITABILITY are preferred.
Bachelor’s degree or Additional FOUR (4) years of combination of education and relevant experience).
Minimum of SIX (6) years of progressive experience in program administration, operations, personnel security, compliance support, and/or business process reengineering—preferably in a Federal/government contracting environment—with demonstrated ownership of multiple concurrent workstreams.
Experience working directly with Government stakeholders and internal teams to support Public Trust suitability processing, Personal Identity Verification (PIV) credentialing, Government Furnished Equipment (GFE) provisioning, onboarding and offboarding coordination, training compliance (including records management), and workflow optimization.
Demonstrated ability to present and communicate information clearly to varied audiences (e.g., program leadership, project teams, and Government points of contact) through briefings, written status reports, and concise executive summaries.
Experience identifying and applying process improvements, designing and documenting workflows, and developing standardized templates/job aids to reduce manual effort, improve consistency, and strengthen compliance.
Strong analytical and problem-solving skills, including the ability to identify trends, reconcile data across multiple sources, investigate discrepancies, and recommend practical corrective actions.
Expertise with Microsoft 365 tools—especially Excel and Word (e.g., filters, pivot tables, lookups, and professional document formatting); comfortable using Outlook, Teams, and SharePoint to coordinate work and manage records.
Ability to analyze, summarize, and compile quantitative and qualitative information into accurate trackers, reports, and deliverables, while maintaining data integrity and version control.
Ability to perform highly detail-oriented work in a deadline-driven environment, with strong quality control habits to ensure accuracy of submissions, records management, and audit-ready compliance documentation while safeguarding sensitive information and maintaining confidentiality and ethical handling of data.
Strong prioritization, time-management, and self-starter skills, with the ability to triage urgent requests, manage competing deadlines, and keep stakeholders informed of status and next steps.
What Would Be Nice To Have:

Proven ability to collaborate effectively with staff from diverse backgrounds and skill sets (internal, contractor, and Government), building consensus and partnering to improve workflows, processes, and tracking systems.
Excellent oral and written communication skills, including the ability to respond professionally to internal/external requests, draft clear guidance and follow-ups, and communicate issues, risks, and timelines with appropriate discretion.
Familiarity with Department of Health and Human Services position sensitivity designation practices and tools (e.g., Position Designation Tool (PDT), OneView and e828) in support of suitability and access determinations.
Prior experience with or knowledge of grants management concepts and lifecycle activities (e.g., application/intake, eligibility/compliance checks, award documentation, monitoring, closeout), including familiarity with common Federal grant terminology and requirements.
Experience producing recurring program reports and metrics (e.g. training compliance status, rosters, onboarding and offboarding).
Experience with process automation and workflow improvement (e.g., Power Automate, SharePoint lists, Microsoft Forms, or similar tools) to streamline intake/approvals, reduce manual tracking, improve auditability, and standardize communications and templates.
SHRM Senior Certified Professional (SHRM-SCP) certification (or similar).
