What You Will Do:
Guidehouse is looking for a proposal coordinator/production specialist to support public sector proposal deliverables, typically prepared in Microsoft Word and PowerPoint, as well as Adobe Acrobat. This position supports proposal development activities, formatting/desktop publishing, team communications, document control, physical production, and logistics to help manage the proposal development process.
The successful candidate must demonstrate an ability to work efficiently under conditions of multiple deadlines and changing priorities to produce a large volume of high-quality material with attention to detail. This is a hybrid position based in our Tysons Corner, Virginia headquarters office.
Job Description/Responsibilities:
Supports proposal development activities, team communications, and document control.
Maintains proposal file structure and supports distribution of proposal files.
Formats proposals in accordance with Guidehouse standard proposal templates in Word and PowerPoint and assists proposal team members in use of the proposal templates.
Collaborates with the desktop publishing team for more complex formatting.
Works with graphics, desktop publishing, editing, and proofreading specialists for all assigned proposals.
Coordinates proposal production of hard copy proposals and CD/USB deliverables as required by customers.
Archives final proposals and re-usable proposal content following final submission.
Proofs work to minimize errors, reworks errors.
Produces hard copy proposals on-site in Tysons, Virginia, including binder spines, covers, index tabs, CDs, CD labels, USBs.
Performs compliance checks while compiling proposal documents or volumes to confirm that material provided by contributors meet RFP requirements or company guidelines for format (font size, margins, linespacing, brand colors, etc.).
Independently research issues and troubleshoot problems encountered with desktop publishing software.
Coordinates with the proposal manager/coordinator for proposal production.
Other related duties, as required.
What you will need:
Bachelor’s Degree; Four (4) years additional professional experience may be substituted in lieu of degree.
Two (2)+ years of experience working on proposals.
Intermediate skill in Microsoft Word and SharePoint.
Intermediate skill in in Adobe Acrobat Professional to create and edit PDF documents.
Demonstrated time-management skills.
Proven ability to work independently.
Good communication skills, both written and verbal.
The ideal candidate will be a problem-solver with a can-do attitude who is comfortable working in a team environment.
Experience performing document production and delivery (printing, copying, binding; spines, covers, index tabs, CDs, and CD labels, quality checks, etc.).
What Would Be Nice to Have:
Advanced skill in Microsoft Word and SharePoint.
Advanced skill in in Adobe Acrobat Professional.
Experience working with proposal automation software such as Loopio.
Additional Requirements:
Must be able to work in our Tysons Corner, VA HQ office when needed for document printing and production.
Must be a US citizen due to the nature of many of our US government proposals.
Must be able to work extended hours, often with short notice, to meet deadlines. Extended hours may include late nights, early mornings, weekends, and holidays.
Ability to produce and provide QC for hard copy proposal documents in person in our Tysons’ Corner office. This hybrid position requires the candidate to be able to come to the office as needed – during busy periods this may be three days a week, at other times work may be remote.
