The Digitization Analyst supports the delivery of a federal records digitization and intelligent document processing (IDP) program. This role contributes to the conversion of paper records into high-quality digital formats and assists in implementing metadata tagging, quality control processes, and system integrations that improve data accessibility and retrieval.

The analyst collaborates with cross-functional teams—including vendors, data managers, and federal stakeholders—to execute digitization workflows in alignment with federal records management standards (e.g., NARA requirements) and client technical environments. This role operates under guidance from senior team members and contributes to oversight activities through quality validation, reporting, and issue resolution.

What You Will Do:

Chain-of-Custody & File Tracking

  • Support chain-of-custody processes by tracking file movement across vendors and storage providers

  • Identify and escalate discrepancies in inventory and transfers for resolution

Quality Control (QC) Support

  • Execute quality assurance checks (automated and manual) to validate completeness, legibility, and accuracy

  • Conduct sample-based QC reviews and document exceptions for escalation and remediation

Metadata Tagging & Validation

  • Apply and validate metadata tagging in accordance with defined schemas and standards

  • Review extracted data fields and flag inconsistencies or missing values for correction

Intelligent Document Processing (IDP) Execution

  • Support OCR/ICR processing and validate outputs for accuracy and usability

  • Assist in testing multilingual processing and document extraction performance

Data Integration Support

  • Coordinate with technical teams to support ingestion of digitized files and metadata into client systems (e.g., Palantir Foundry, Databricks)

  • Perform validation checks to ensure data integrity, formatting, and compliance with security requirements

Search & Analytics Support

  • Assist in testing and validation of search capabilities (keyword, semantic, or image-based)

  • Provide feedback on search relevance, metadata usability, and data accessibility

Stakeholder Coordination & Reporting

  • Support requirements documentation, status reporting, and preparation of metrics (e.g., throughput, backlog, QC results)

  • Collaborate with internal teams and stakeholders to track progress and resolve operational issues

Continuous Improvement

  • Identify opportunities to improve digitization workflows, metadata quality, and QC processes

  • Document lessons learned and support updates to standard operating procedures

What You Will Need:

  • Bachelor's degree. Additional Four Years exp will be needed in lieu of degree.

  • Minimum of Four (4) years of experience in technology consulting, data management, digitization, or related field

  • Familiarity with high-volume scanning, OCR/ICR processes, and quality control practices

  • Experience applying metadata schemas, validating extracted data, and performing quality checks

  • Ability to support multi-step workflows, coordinate across teams, and track deliverables

  • Ability to identify data inconsistencies, troubleshoot issues, and support resolution efforts.

  • Must be able to OBTAIN and MAINTAIN a Federal or DoD "PUBLIC TRUST"; candidates must obtain approved adjudication of their PUBLIC TRUST prior to onboarding with Guidehouse. Candidates with an ACTIVE PUBLIC TRUST or SUITABILITY are preferred.

  • Candidates from DC Metro area are preferred as they may need to go to client site when needed.

What Would Be Nice To Have:

  • Exposure to federal records management, digitization programs, or archival processes.

  • Familiarity with NARA standards (e.g., 36 CFR 1236), retention policies, or digitization best practices

  • Experience with OCR tools (e.g., ABBYY), document processing tools, or cloud-based data platforms (e.g., AWS, Databricks, Palantir Foundry)

  • Understanding of basic data security and privacy principles (e.g., PII handling, FISMA concepts)

  • Certifications : AIIM CIP, CRM, or other records/data management certifications

The annual salary range for this position is $75,800.00-$113,600.00. Compensation decisions depend on a wide range of factors, including but not limited to skill sets, experience and training, security clearances, licensure and certifications, and other business and organizational needs.
