Guidehouse is seeking a Jr. Program Support Specialist to provide high-level administrative and organizational support to senior leaders and program teams in a dynamic federal environment. The successful candidate will manage competing priorities, coordinate daily operations, prepare correspondence and briefing materials, and serve as a professional point of contact for internal and external stakeholders.
What You Will Do
Provide administrative and operational support to senior leaders, management teams, and program staff.
Manage calendars, schedule meetings, coordinate appointments, and resolve scheduling conflicts.
Prepare agendas, briefing materials, presentations, reports, correspondence, and meeting minutes.
Coordinate meetings, conferences, and program events, including logistics, materials, and follow-up actions.
Track action items, deadlines, deliverables, and commitments to ensure timely completion.
Draft, edit, and proofread correspondence and documents for accuracy, consistency, and professionalism.
Serve as a liaison between leadership, staff, clients, stakeholders, and external partners.
Respond professionally to inquiries and route requests to the appropriate personnel.
Coordinate travel arrangements, itineraries, expense documentation, and related follow-up.
Conduct research and prepare summaries, recommendations, and program reports.
Maintain confidential files, records, and administrative documentation.
Support office operations, administrative procedures, and recurring program deliverables.
Assist with records management, document control, property accountability, and inventory tracking.
Monitor priorities and provide reminders or status updates to leadership.
Support special projects, management initiatives, and other duties as assigned.
What You Will Need
Associate’s degree (AA/AS) in Business Administration, Management, Communications, Office Administration, or a related field.
Two (2) years of relevant experience supporting business operations, office management, administrative services, or program activities.
Strong written and verbal communication skills.
Excellent organizational and time-management skills.
Ability to manage multiple priorities and recurring deadlines in a fast-paced environment.
Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
Strong attention to detail and professional judgment.
Ability to handle confidential and sensitive information appropriately.
Strong analytical, problem-solving, and follow-through skills.
Ability to work independently and collaboratively with staff, clients, and stakeholders.
What Would Be Nice To Have
Experience supporting a federal government agency, preferably the Federal Aviation Administration (FAA).
Experience supporting senior leaders, directors, or management teams.
Experience managing complex calendars, meetings, travel, and correspondence.
Experience preparing briefing materials, presentations, dashboards, or leadership reports.
Knowledge of federal records management, document control, and correspondence practices.
Experience tracking action items, program deliverables, or operational metrics.
Experience supporting property accountability, asset management, or inventory activities.
Experience working with program management offices or leadership teams.
Familiarity with federal administrative procedures and government operations.
